Privacy Policy
Effective Date: August 1, 2026
Palo Alto Catering Company ("Palo Alto Catering Company," "we," "us," or "our") is a Peninsula catering company serving Palo Alto, Stanford, Menlo Park, Los Altos, Redwood City, Woodside, and Portola Valley. This Privacy Policy describes what personal information we gather, why we gather it, who we share it with, and the choices you have — whether you browse this site, request a catering quote, place an order, use the client portal, or simply email or text our team.
Using this website or sending us your information means you accept the practices set out below.
1. What We Collect
Details you give us directly. Most of what we hold is information you hand over so we can quote and cater your event:
- Your name and the name of the company, school, lab, or household you are booking for
- Email address and phone number, plus the best way to reach you on event day
- Event date, service time, guest count, and service style
- The delivery address in Palo Alto or the surrounding Peninsula, including building, suite, floor, or venue name
- Load-in notes: parking, dock or freight elevator access, badge or gate requirements, and setup instructions
- On-site contact names and mobile numbers
- Menu choices, dietary restrictions, allergy notes, and special requests
- Quote requests, revisions, order details, and any messages you send us
- Billing details and information entered into our payment processor's form
- Purchase orders, W-9 requests, vendor portal credentials, or tax-exemption paperwork your employer requires
- Reviews, survey answers, and post-event feedback
Details collected automatically. When you visit the site, our servers and analytics tools may record your IP address, browser and device type, pages viewed, time on page, the ad or site that referred you, approximate location, and data from cookies, pixels, and similar technologies.
Payment details. Card data is captured and processed by a third-party payment processor inside its own secure form. We do not set out to store full card numbers on our servers. That processor handles the information under its own privacy and security terms.
2. Why We Use It
We use personal information to:
- Prepare quotes and respond to inquiries from Palo Alto and Peninsula clients
- Confirm, schedule, staff, cook, deliver, and serve your event
- Coordinate with your venue, building management, or campus facilities team when access requires it
- Accommodate allergies and dietary needs safely in our kitchen
- Invoice you, process payments, apply deposits, and issue refunds or credits
- Send order confirmations, quote links, reminders, and event-day updates
- Maintain internal records, accounting, and tax documentation
- Answer questions after the event and resolve any service issue
- Improve our menus, website, and service based on aggregated patterns
- Send marketing or seasonal menu updates where permitted, which you can stop at any time
- Meet legal, tax, insurance, and food-safety obligations
3. Who We Share It With
We do not sell your personal information. We share it only where it is needed to run the business:
- Service providers — payment processing, email and text delivery, hosting, scheduling, analytics, and customer-support tools that act on our instructions
- Event partners — rental companies, floral suppliers, staffing partners, and venues, limited to what they need to fulfill your event
- Professional advisors — accountants, insurers, and attorneys where reasonably required
- Legal and safety — when the law requires it, or to protect our rights, our staff, or the public
- Business transfers — if the company or its assets are reorganized, merged, or acquired
4. Cookies, Analytics, and Advertising
This site uses cookies and similar technologies to keep the site working, remember preferences, measure traffic, and understand which ads or searches bring Peninsula clients to us. Most browsers let you block or delete cookies; some site features may not work as well if you do. Where required, we honor recognized opt-out and Global Privacy Control signals.
5. Text Messages and Email
If you give us a mobile number, we may text you about quotes, confirmations, delivery windows, and event-day logistics. Message and data rates may apply. Reply STOP to opt out of texts, or use the unsubscribe link in any marketing email. Transactional messages about an active order may continue after you opt out of marketing.
6. How Long We Keep It
We keep event, order, and payment records for as long as we have a relationship with you and afterward as needed for accounting, tax, warranty, insurance, and legal purposes. Inquiries that never become bookings are kept for a limited period so we can pick up the conversation if you return. When information is no longer needed, we delete it or de-identify it.
7. Security
We use administrative, technical, and physical safeguards designed to protect the information we hold, including limiting internal access to staff who need it. No website, database, or transmission method is completely secure, so we cannot guarantee absolute security.
8. Your Choices and California Privacy Rights
You may ask us to access, correct, or delete personal information we hold about you, or to stop marketing contact. California residents may also have the right, subject to legal exceptions, to know the categories of personal information collected and disclosed, to request deletion or correction, to opt out of sharing for cross-context behavioral advertising, and not to be discriminated against for exercising those rights. Authorized agents may submit requests on your behalf with proof of authorization. Contact us using the details below and we will verify your request before acting on it.
9. Children
Our services are aimed at adults booking catering. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will remove it.
10. Third-Party Links
Our site may link to venues, partners, review platforms, or social media. Those sites have their own privacy practices, and this policy does not cover them.
11. Changes to This Policy
We may update this policy as our services, tools, or legal obligations change. The revised version takes effect when posted, and the effective date above will reflect the update. Continuing to use the site after a change means you accept it.
